Why use SMS text messaging and e-mails?
There are a number of reasons to do it:
  • You could send multiple messages instantly
  • Phone calls take time, the same message can be sent to all the cell phones straight away
  • Cuts down on paperwork and saves money
  • Messages can be created and edited from any web enabled PC and then sent instantly or queued to go at a more appropriate time
  • Most parents have a cell phone so reaching them at any time of the day is easy
  • No sign up costs

How do schools enroll in the service?
Each school must complete an enrollment form and agreement document. Be sure to include the following information, your school’s schedule of activities, events, and important dates and the contact information of key administration staff and teachers whom you want to be able to access the system.

Each administrator and faculty member who is given permission to use the system must complete an enrollment form that establishes their username and secured password.
These enrollment forms can be mailed to the school or accessed via our website at www.link2parents.com.

How are lists created and managed within the system?
Once we receive the enrollment forms from both the parents and school, we will generate lists of parents and guardians who have enrolled in the service and assign them to pre-determined groups such as classroom, bus #, school, grade, etc… The creation of the groups will be determined by the school administration and faculty. Lists can be easily modified by assigned school administrators or by us upon receiving permission from the school. Quick and easy drop down lists of the groups can be quickly accessed by school administrators and faculty.

How are planned events, schedules, activities, and announcements entered into the system?
Once we receive your list of planned events, schedules, activities, and announcements, our system will automatically assign them to your school and upload them into the system. Simple and easy messages will be automatically generated by the system and sent via text messaging, email, or both to the parents who have signed up for the service. The messages will be sent in advance of these events according to the individual notification schedule that the parents indicated on their enrollment form.

How are unplanned events, activities, announcements, notifications, or emergencies entered into the system?
School administration and teachers who have been given permission to use the system can easily log into the system by accessing our website at www.link2parents.com. Once they have accessed our website they can enter their username and secured password to access the system. Once they have accessed the system they can quickly input the message they want to send and assign an individual or group to that message. For instance, if a teacher wants to notify the parents of her students that progress reports are going out, all she would have to do is access our website, log into the system using her username and secured password, create the message that she wants to send <"Progress reports will be sent home with students on Friday", access the drop down list of her groups, select the group that she would like to send it to "Mrs. X 6th grade classroom" and click the send button. The message will be automatically generated and sent to the parents of the students within her classroom that have signed up for the service. The parents will receive an email or text message that will notify them that progress reports will be sent out on Friday so that they can be expecting them.

Another example may be that a bus broke down and the school’s administration would like to notify the parents of the delay and reason. A school administrator would log onto our website at www.link2parents.com, enter their username and secured password, quickly generate a message "Bus number Y broke down this afternoon and Bus number Z will be taking the students home. Please expect about a 20 minute delay", access the drop down list of groups, highlight the appropriate individuals or groups, and click the send button. Those parents who signed up for the service and have students on the bus would receive a text message or email that will notify them of the transportation notice and associated delays so that they can plan accordingly.

Is the system secure?
Yes, the system is protected by SSL encryption technology and access is secured through a username and password.

Do we have to maintain the system?
No, we only ask your help in developing the groups and providing us with the planned events, activities, announcements, etc… We upload the information, manage the lists, provide systems support, provide customer support and training.

What if we do not want to send notifications of emergencies or announcements of unplanned events?
Each school can elect to only provide the parents with the ability to receive notification and reminders of planned events such as school holidays, first day of school, last day of school, early release days, open house, parent/teacher conferences, and others. In most cases we can access this information from your website or from your school districts and upload the dates into our system without your involvement.

Will we have to get involved with collecting payment for the services?
No, the parents can mail the payment to us directly or to your PTA leadership team. We will write your school a check for 60% of the gross revenues.

How much will the service cost?
The fee is based on a flat rate of $____ for a school calendar and will be pro-rated based on when the service is activated. 60% of the fees will be given back to the school systems.

Will the system require any investment by the school?
No, the system is web-based and hosted by us. No technical resources or equipment will be required by the school to implement the service. In order for the school’s administration and faculty to use the system, the school must have a PC with Internet access.

Can administration and faculty use the system at home?
Yes, the system is web-based and password protected. The system only requires a user to have access to the Internet in order to access our website at www.link2parents.com. Teachers and administrators can sit at home and send messages to parents of students pertaining to weather related events, or just communicate with them in order to enhance school communications.

Will the school be charged a fee to send messages?
No, the service will be paid for by the parents.

Does Link2Parents guarantee the delivery of the messages?
No, please read our disclaimer. Due to the unreliability of carrier networks and gateways, some of the messages may be dropped.

How much does the service cost?

How much time and resources will this require?
Very little! The service is designed to be quick and easy. We manage every aspect of enrollment, setup, training, delivery, support, customer service, and revenue collections. We will need your help upfront promoting the system and to facilitating the distribution of enrollment forms. We will need the help of the school administration to promote the system and develop the preferred groups/lists that they want to create. We will also need the school to provide us with a list of all planned events, activities, announcements, holidays, etc. that they want us to upload into the system.

How will revenue collections be handled?
This decision can be made by the PTA leadership team. If you would like to give the parents an option to mail it to us or to you, or if you want us to handle receipt and distribution of revenues, or if you would like all payments to be sent to the PTA leadership.

When will the service begin?
Since this is the first year of offering the service to your school, we expect it to take a few months to introduce the service to the parents and begin receiving enrollment forms. All fees are based on a flat rate but will be pro-rated based on when the service is activated. Service is activated once enrollment forms are complete, agreement forms have been signed, and payment has been received.

How will customer service be handled?
Parents, School Administration, PTA Leadership, or Faculty can call us anytime at 800________ and we will be more than happy to answer any questions or support users of the system to the best of our abilities.

How do parents enroll in the service?
The enrollment process is designed to be quick and easy. To enroll all you have to do is either complete the paper-based form that will be mailed to you or sent home with your child or you can fill out the form on our website.

Be sure to include: Your information, your children’s names and grades, their teachers name, your cell phone number, your email address, how often you want to be notified of planned events and how many days in advance and include your signature on the form.

How many cell phone numbers can I sign up?
The fee for the service includes the ability to send text messages to a single phone number. Additional cell phone numbers will be treated as a separate service and billed the full amount $___month.

What about email addresses?
There is a $___ flat fee for each additional email address that we send messages to.

How do I sign up grandparents, guardians, or others?
Anyone who would like to use the service and receive reminders and notifications via email or text messages must complete an enrollment form.

How much does the service cost?

Can I sign up for just email or text messaging?
Yes, however, the flat rate applies whether or not you want to receive email notifications only, text messages only, or both.

Will my cell phone provider charge me for receiving text messages?
Yes, in most cases the average fee is .02 per message that is received. However, the fees may vary depending on your cell phone service provider.

Is this service tax deductible?
Yes, the service is offered as a charitable donation to your school and can be deducted from your federal income taxes.

How do I know if my cell phone can receive text messages?
Most cell phones can receive one-way or two-way text messaging. Our service only requires that your phone be able to receive one-way text messaging. In order to find out if your cell phone can receive text messages, you can contact your cell phone provider, or sign up with us to receive free training and a test notification text message to ensure that your phone can receive text messages.

How do I pay for the service?
Again, we try to make things quick and easy. You can mail us a check for the full amount or mail the check to the PTA Leadership team. The fees will be pro-rated based on when the service is turned on. The service will not be turned on until we have received your completed enrollment form and payment for the service.
